Southwest Aquatic Team - Swim America: Cancellation and Makeup Policy

When you enroll in a swim lesson, you are reserving space, time, and staff, regardless of your attendance. If special circumstances prevent participation, you may be eligible for an account credit or a makeup lesson. Please contact the Program Director to explain your situation, and your request will be evaluated on a case-by-case basis.

 

Cancellation Notice:

• Cancellations must be made at least 24 hours prior to the scheduled lesson to avoid a charge.

• If a cancellation is made with less than 24 hours' notice, there will be a 7% transaction fee deducted from any account credit granted.

 

Medical Cancellations:

• If you need to cancel due to illness or injury, please notify the Program Director as soon as possible. A doctor's note may be required for an account credit.

 

No-Shows:

• Any participant who does not attend a scheduled lesson without prior notice will be considered a "no-show" and will be charged for the lesson.

 

Emergency Cancellations:

• In the case of an emergency or extenuating circumstances, please contact the Program Director immediately to discuss potential accommodations. All requests will be considered on a case-by-case basis.

 

Makeup Lessons: Non members are entitled to one (1) free makeup lesson per session of scheduled lessons. A session is considered 1 full class, whether that be 1 week, 2 weeks, weekly lessons etc. Annual members are entitled to unlimited free makeup lessons. Additional makeup lessons (beyond 1) for non members, will incur a $15 fee per makeup. Makeup lessons will be scheduled at a mutually agreed time between the Program Director and the participant.

 

Credits: If a swimmer is unable to attend 2 or more consecutive lessons due to illness or injury, an account credit may be provided. A doctor's note may be required for credit eligibility. The credit will be applied to the participant's account and can be used for future swim lessons.

 

Pool Closures: If the pool is closed due to inclement weather or maintenance issues, we will make every effort to find an alternate location for lessons on that day. If no alternative is available, participants will receive a credit for the canceled lesson OR a makeup lesson will be scheduled (this will not count as your one free makeup lesson),those affected will be notified by email of any schedule changes.
